Terms of Service
The agreement that governs your use of vectismail.com and any Vectis Mail™ subscription you take out.
1. What these terms cover (and what they don't)
These Terms of Service are an agreement between you and Veltara Works™, the publisher of Vectis Mail. They cover:
- Your visit to and use of vectismail.com (this marketing site, including the contact form and the billing-portal landing page you reach from your Vectis Mail welcome email).
- Your purchase of a Vectis Mail Pro subscription.
- The general support and information we publish — release notes, documentation at vectismail.com/getting-started, and the like.
They do not cover:
- The software licence for Vectis Mail itself. That's the Business Source License 1.1 ("BSL"), included with the source at github.com/Veltara-Works/vectis/blob/main/LICENSE. The BSL determines what you can do with the source code, with the binaries we build from it, and when each version converts to Apache License 2.0 (four years from each version's first public release). These Terms do not modify the BSL; the BSL prevails on any question about source-code rights.
- Your relationship with your own users. Vectis Mail is a self-hosted product. Once you've installed it, you operate it. Your end-users (the people whose mailboxes you host) are your responsibility, not ours.
By using vectismail.com or by holding a Vectis Mail Pro subscription, you agree to these Terms. If you don't agree, please don't use the site or buy the product.
2. Who we are
Vectis Mail is a product of Veltara Works™, a wholly Australian owned company. Veltara Works owns and operates Vectis Mail (this product) and ValidonX (the licensing and subscription platform that handles Vectis Mail Pro subscriptions on Veltara Works's behalf, and is also offered to other software developers as a licensing service).
"We", "us", "our" in this document means Veltara Works. "You", "your" means you, the person or organisation reading these Terms and using the site or subscription.
3. Using vectismail.com
3a. What you can do
Browse the site. Read the docs. Copy code from the documentation into your own projects (it's there for you to use). Link to any page on the site from anywhere. Quote and excerpt content (with a fair citation back to the source). Submit the contact form when you have a question.
3b. What we ask you not to do
Please don't:
- Scrape the site at volume in a way that could affect its availability to other visitors. Reasonable, well-behaved crawling (robots.txt-respecting) is fine.
- Use automated tooling to flood the contact form, submit fake enquiries, or impersonate someone else.
- Attempt to interfere with, probe, exploit, or otherwise abuse the site's infrastructure. If you're doing security research and you've found something interesting, please report it through the Contact page with "Security" in your message — we'll happily acknowledge the finding.
- Use any Vectis Mail or Veltara Works trademark, logo, or wordmark in a way that suggests we endorse you, your product, or your services without our prior written consent.
- Frame the site, mirror it, or republish it in a way that misrepresents authorship.
3c. Site availability
We aim to keep vectismail.com available, but we don't guarantee 100% uptime. The site is hosted on Cloudflare Pages; from time to time we may take it down for maintenance, redesign, or in response to incidents. We don't owe you anything for downtime on the marketing site.
4. Vectis Mail subscriptions (Pro tier)
4a. The relationship
A Vectis Mail Pro subscription is a commercial agreement directly with Veltara Works. Your card payment is processed by Stripe; the licensing and subscription administration runs through ValidonX, Veltara Works's own platform. Veltara Works is the merchant of record — the entity on your statement and on the receipt.
A subscription buys you the right to run Vectis Mail in production for your organisation (and the end-users of your organisation) under the terms of the BSL's Additional Use Grant. One subscription covers all Vectis Mail installs operated by your organisation. Each $29 USD per month invoice covers one tenant for one calendar month.
4b. What the subscription includes
- Pro feature unlocks on your install (unlimited domains, unlimited mailboxes, per-domain analytics, OIDC SSO, custom branding, advanced spam controls, and other capabilities as listed at /pricing).
- Priority email support via the Contact page.
- Access to stable releases and the right to apply them in production.
4c. What it doesn't include
- Hosting. You bring your own infrastructure (a Linux VPS, your own bare metal, your own cloud account).
- Migration services from another mail platform. We're happy to advise and many customers migrate themselves, but full white-glove migration is a separately-quoted engagement.
- Custom feature development. Feature requests are welcome on GitHub and we triage them as they come in, but a paid subscription does not entitle you to a specific feature on a specific timeline. If you need a feature on a contractual SLA, talk to us about an enterprise engagement.
- Indemnity for content your end-users send. You are the operator of your mail server; you bear primary responsibility for the content that passes through it.
4d. Billing, renewals, cancellations
Subscription administration is handled through ValidonX. In short:
- Subscriptions auto-renew monthly until you cancel them. You can reach your billing portal through the link in your Vectis Mail welcome email — the link carries the unique tenant identifier required to load the portal. If you've lost the email, use the Contact page and we'll send you a fresh portal link.
- Cancellation takes effect at the end of the current billing period; you keep Pro feature access until then and your Vectis Mail install falls back to the Starter tier afterwards. Your data is not locked — the mail server continues to run mail.
- If a payment fails, you have a 21-day grace period during which Pro features continue to work while we attempt to collect. After that, the install enters a "past due" state and Pro features are restricted; the core mail server continues to operate so you do not lose mail.
- Refunds: we administer refunds in line with Australian Consumer Law. If something has gone genuinely wrong on our side and you've paid for a service you couldn't use, reach out through the Contact page and we'll make it right.
4e. Resale and managed-hosting
Vectis Mail is licensed under the BSL. The Additional Use Grant covers running the software for your own organisation and your own end-users (including delivering mail for customers of your organisation, e.g. an agency hosting mail for its design clients). It does not permit you to offer Vectis Mail itself to third parties on a hosted, embedded, or managed-service basis in a way that competes with Veltara Works's paid offering. If you want to do that, reach out through the Contact page and select Enterprise Sales — we'll discuss a separate arrangement.
5. Intellectual property
The Vectis Mail source code and binaries are licensed under the Business Source License 1.1 as described in section 1. Everything else on vectismail.com — the design, the copy, the logos, the brand assets — is © Veltara Works. You may not copy the look-and-feel of the site, the brand, or the marketing copy and present it as your own product. The Inter typeface used on the site is by The Inter Project Authors, distributed under the SIL Open Font License 1.1 (OFL.txt).
"Vectis Mail", "Veltara Works", and "ValidonX" are common-law trademarks of Veltara Works.
6. Privacy
Our handling of personal information is described in our Privacy Policy, which forms part of these Terms.
7. Acceptable use of the product
If you're a Vectis Mail Pro subscriber, you agree not to use Vectis Mail to:
- Send bulk unsolicited email (spam), or any email that violates the Spam Act 2003 (Cth), the US CAN-SPAM Act, the EU ePrivacy Directive, or any equivalent law in your jurisdiction.
- Host or distribute material that is unlawful, defamatory, infringing, or harmful (e.g. malware, phishing payloads, sexual material involving minors, content that incites violence).
- Operate the server in a way that materially damages the deliverability reputation of shared infrastructure used by Vectis customers as a whole.
- Reverse-engineer the software in order to circumvent licence enforcement or the BSL's Additional Use Grant.
Severe or repeated misuse may result in us pausing or revoking your Pro licence. In practice we always reach out first and try to resolve the underlying issue.
8. Disclaimers
The marketing site and the Vectis Mail product are provided "as is", without warranty of any kind, express or implied, including but not limited to the implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We make no guarantee that the software is error-free, that it will run on your specific hardware, that mail delivery will succeed against every receiving server in the world, or that it will be free from security vulnerabilities. We do our best, and we publish security updates quickly.
To the extent that Australian Consumer Law or any other consumer-protection law in your jurisdiction grants you guarantees that cannot be excluded, those guarantees apply notwithstanding anything else in this section.
9. Limitation of liability
To the maximum extent permitted by law:
- Veltara Works is not liable for any indirect, incidental, consequential, special, exemplary, or punitive damages arising out of or in connection with your use of vectismail.com or the Vectis Mail product, including loss of profit, loss of business, loss of data, or business interruption, even if we've been advised of the possibility of such damages.
- Our total aggregate liability to you under or in connection with these Terms is limited to the amounts you have paid Veltara Works for a Vectis Mail Pro subscription during the 12 months immediately preceding the event giving rise to the claim. If you have not paid for a subscription, our aggregate liability is limited to AUD 100.
This limitation reflects the fact that Vectis Mail is a self-hosted product whose operational outcomes (deliverability, uptime, security of the host) depend on infrastructure and operational practices in your control. Where Australian Consumer Law or any equivalent law in your jurisdiction prohibits such a limitation, this section applies only to the extent permitted by law.
10. Indemnity
You will indemnify and hold Veltara Works harmless from any third-party claim arising out of your operation of a Vectis Mail install (for example, a complaint from one of your end-users about how you've handled their mail or their account), to the extent the claim is caused by your acts or omissions rather than the design of the software itself.
11. Termination
You can cancel your Vectis Mail Pro subscription at any time through the billing portal — reach it via the link in your Vectis Mail welcome email, or ask us for a fresh link through the Contact page if you've lost the original. You stop being subject to the commercial parts of these Terms (sections 4, 9, 10) at the end of the billing period in which you cancel; the BSL continues to govern your existing installs of past versions until each version reaches its own Change Date.
We may suspend or terminate your subscription for material breach of these Terms (section 7 in particular) on reasonable notice. In the case of a serious abuse incident we may suspend immediately and discuss after; we'll always tell you what triggered it.
12. Governing law and disputes
These Terms are governed by the laws of Australia. Any dispute arising out of or in connection with these Terms is subject to the non-exclusive jurisdiction of the courts of Australia. If you're based in an EU member state, in the UK, in California, or in any other jurisdiction whose consumer-protection law grants you a mandatory right to use the local courts, that right is preserved.
Before commencing formal proceedings, we ask that you reach out through the Contact page. Most things can be sorted out in writing.
13. Changes to these terms
We may update these Terms from time to time. When we do, we'll bump the "Last updated" date at the top. For material changes that affect existing Pro subscribers we'll also send you an email. Continuing to use the site or hold a subscription after the effective date of a change constitutes acceptance of the updated Terms.
14. Miscellaneous
- Severability. If any part of these Terms is found unenforceable, the rest stands.
- No waiver. If we don't enforce a part of these Terms in a particular instance, we don't lose the right to enforce it later.
- No assignment. You can't transfer your subscription to someone else without our written consent (but selling your business is fine — the subscription moves with it).
- Entire agreement. These Terms, the BSL, and the Privacy Policy form the complete agreement between you and Veltara Works in relation to Vectis Mail. They supersede any earlier informal understanding.
